How it works

A set reply does a task. The system does the whole job.

No jargon. Here's what I actually build, how it behaves, and how you stay in charge of it.

Two kinds of help.

Most of what trades get sold is the first kind. What I build is mostly the second.

A set reply

A row of dominoes.

When this happens, do that, the same way every time. For example: when someone fills in your contact form, send them an email. It's useful, but it can't cope with anything unexpected.

What I build

A capable pair of hands in the office.

You give it a goal, not a script, and it works out the steps. It reads what comes in, makes sensible decisions, uses your apps (email, calendar, WhatsApp, your job software) and only comes to you when it really needs you.

The same message, two ways.

A customer gets in touch at 9pm: "Got a leak over the back bedroom, can someone come and look?"

  3. A short replyThanks for your message, we'll be in touch.
  4. ThenNothing else happens until you see it in the morning. By then they may have rung someone else.

Where jobs usually get stuck.

The most common hold-ups I see in service businesses. Most firms have three or four of these.

Where it gets stuckWhat it costs youWhat I can set up
Calls missed while you're on a jobThe customer rings the next firmAn instant text or WhatsApp reply that gets the details and books a call-back or a survey
Quotes take days to go outJobs go to whoever quotes firstQuotes drafted from your survey notes and photos, ready for you to check and send the same day
Quotes go quietWork you've already priced never gets bookedPolite follow-ups at set times, stopped the moment they reply
Juggling the diaryRebooking, no-shows, wasted tripsBooking, confirmations and a reminder the night before, so nobody's out when you turn up. Easy rescheduling when the weather turns
Chasing paymentHours on the phone, cash tied upDeposits, stage payments and a pay-now link on every invoice, with reminders that stop when they pay
Invoices done on a SundayYour weekend, or your partner'sInvoices, deposit requests and receipts go out on their own, and you both see what's been paid
Lost in WhatsAppPhotos and questions buried in forty chats, jobs priced latePhotos, postcodes and questions sorted into one list per customer
Asking for reviewsThe job's finished and the customer never hears from you againTexts in your name: a thank-you and Google review link the same day, one nudge, then check-ins at 2 weeks, 2 months, 6 months and 12 months
The same questions, over and overTime lost to "do you cover...?" and "do you do guttering?"A chat box on your site and WhatsApp that answers common questions, in your words
Typing the same thing twiceAdmin evenings and mistakesDetails captured once, so you are not typing them into two places

These hold-ups sit inside the six-part trades system. See the plans. Not sure which ones you've got? Take the two-minute self-check, then book the Free Website Check.

You stay in control.

It works for you, not instead of you. You decide how much it does on its own.

Your rules
What it can say, what it can book, and what it must always check with you, like prices, discounts or anything unusual.
Your wording
Nothing goes out in your name unless you've approved the wording.
Every step logged
Every message and booking is logged, so you can check it any time.
Your apps
It works with what you already use where possible: your phone, WhatsApp, email, calendar and job software.
When you get the website
Handed over from day one if you pay upfront, or after your 12th monthly payment: a full copy of the files and code, or the site moved into an account in your name. If you stop the monthly payments before the 12th, the site comes offline. The domain name is in your name either way. Hosting and care is a separate monthly service you can cancel any month. Missed calls texted back, the chat box and review requests run on a monthly plan. I don't set a minimum term on this page. The detail goes in writing before you start.

How much it does on its own.

  1. Manual wind

It drafts, you send. The safest first step.

  2. Hands-off

It runs, and you approve the big things.

  3. Perpetual

It runs and reports back. You check in when you want to.
